Medical Office Secretary (Lackland Air Force Base)
Education:
· Degree/Education: Shall possess a high school diploma or equivalent with experience using Microsoft Office products.
Certifications
Basic Life Support
· 20-hr Council for Accreditation in Occupational Hearing Conservation (CAOHC) certification course to assist as a Hearing Conservationist.
Qualifications:
· Work within the Government provided facility, use Government provided equipment and perform services and support compatible with the medical facility’s operating capacity and equipment.
· Verify patient identity and eligibility in Defense Eligibility Enrollment Reporting Systems (DEERS) using appropriate AF-approved methods. Check the patient in and enter patient information into MHS GENESIS application computer system.
· Support BAS (Behavioral Analysis Services Clinic) and BEST (Biographical Evaluation and Screening of Trainees) Program with administrative tasks such as scheduling, checking in patients, ensuring EHRs (Electronic Health Records) have appropriate and accurate documentation, updating patient databases and all other administrative functions as required.
· Verify patient identity and eligibility in Defense Eligibility Enrollment Reporting Systems (DEERS) using appropriate AF-approved methods.
· Check the patient in and enter patient information into Armed Forces Health Longitudinal Technology Application (AHLTA) computer systems.
· Obtain Third Party Collection Information and forward to Resource Management Office (RMO) at close of business daily IAW AFI 41-102, Medical Expense & Performance Reporting System (MEPRS) for Fixed Military Medical & Dental Treatment Facilities.
· Identify patients on Personnel Reliability Program (PRP), flag record, and initiate start of MTF process for care of PRP patients IAW AFI 41-210, Tricare Operations and Patient Administration Functions.
· Verify patient demographics and direct patient to update Defense Enrollment Eligibility Reporting System (DEERS) information if required. Enter any new contact information (i.e. address and phone number) in Composite Health Care System (CHCS) utilizing the Demographics Module.
· Identify whether patient is enrolled in secure messaging; if not, inform patients of the benefits and encourage patients to enroll. Provide instructions for enrollment if necessary.
· Ascertain from patient if visit is injury related; if so, starts AF Form 1488, Daily Log Patients Treated for Injuries, and notifies Medical Technician Team (4N Team).
· Assist patient to complete required visit paperwork and provide clinic instructions to patient
· Route patient to appropriate location for the visit.
· Schedule initial and follow-up visit for patient if required based on the policies of the clinic of assignment.
· Track and assist with tracking, diagnostic testing results. Provide hard copy results, or enter request for telephone consultation (t-con) with appropriate staff members.
· Accomplish end-of-day processing to ensure all appointments are closed out properly.
· Assist Office Manager, Squadron Group Administrator (SGA) and Group Practice Manager (GPM) as needed.
· Train and assist Registered Nurses/Licensed Vocational Nurses/Medical Technicians, as required, in the proper completion and maintenance of outpatient medical records to include processing/verifying Notice of Privacy Practices (NoPP) labels.
· Perform other patient administrative functions as requested.
· Track metrics as it pertains to no-shows, late arrivals, and walk in data.
· Monitor patient waiting areas for any possible safety concerns and elevate to government staff.
· Assist with audiology screening of military members as a hearing conservationist. As above, obtain certification at a 20-hr Council for Accreditation in Occupational Hearing Conservation (CAOHC) certification course. Additionally, this certification will require separate review/ approval by United States Air Force School of Medicine (USAFSAM) of the course didactics. Applicants will also need to enroll in DOEHRS-HC specific training.
